Planners International Co., Ltd. (hereinafter referred to as “the Company”), which manages and operates THE ENTENTE Fitness Club (hereinafter referred to as “the Club”), acquires and uses personal information of customers, members, and other related parties (hereinafter referred to as “Customers”) in accordance with the following policy and strives to ensure appropriate protection.

Compliance with Laws and Regulations

The Company complies with the Act on the Protection of Personal Information of Japan and other applicable laws, regulations, and guidelines concerning the protection of personal information.

Acquisition of Personal Information

When acquiring personal information from Customers, the Company clearly specifies the purpose of use and acquires such information through lawful and fair means.

Internal Structure

The Company shall review and improve its internal rules and organizational systems for handling personal information to ensure effective and appropriate ongoing operation. The Company also provides education to all employees regarding personal information and ensures its proper handling.

Use of Personal Information

The Company uses Customers’ personal information within the scope of the following purposes:

・For processing membership applications, identity verification, membership management, and various registration and change procedures

・For billing, payment processing, and payment management of membership fees and paid programs

・For providing and operating fitness club services, events, and various programs

・For communications regarding facility use, responding to inquiries, and handling lost and found items

・For taking necessary actions in emergencies such as accidents, injuries, or sudden illness

・For prevention of unauthorized use, managing facility security, and dispute handling

・For contacting Customers and providing information regarding new products and services related to the Company

・For conducting marketing research, service development, and surveys related to fitness club operations and fitness-related services

・For compliance with laws and responding to administrative authorities

・For other matters necessary or related to the operation and management of the fitness club


(Handling of Payment Information)

The Club uses a payment processing company for credit card payments and a collection agency for bank account transfers related to membership fees and other payments. As a general rule, the Company does not retain credit card numbers or other payment information required for payment processings in its own systems; such information is handled appropriately by the payment processing company. Bank account information necessary for account transfers is handled through procedures by the collection agency. Information obtained and used by the Company for these services is limited to what is necessary for membership management and billing/payment management purposes.


(Health Information, etc.)

When handling sensitive information such as Customers’ health conditions and physical information, the Company limits collection to what is necessary, clearly specifies the purpose of use, and implements appropriate security control measures such as access restrictions.


(Security Cameras and Entry/Exit Records)

Video footage from security cameras installed inside and outside the Club facilities and entry/exit records (check-in records and IC card logs) are handled solely for purposes such as crime prevention, ensuring safety, preventing unauthorized use, and post-incident verification. Access is restricted to the minimum necessary personnel.The Club uses QR codes linked to membership information for check-in to manage entry and exit, verify identity, prevent unauthorized use, and ensure facility safety. Entry and exit records are handled within the scope of these purposes and managed with restricted access rights.


(Website and Access Analytics)

The Club’s website may use Google Analytics to understand usage conditions and improve services. Google Analytics collects, records, and analyzes browsing history, access dates and times, and device information through cookies and similar identifiers. The Company uses this information to improve website convenience, analyze usage, and enhance content.Cookies can be disabled through browser settings. The Company may obtain consent or provide consent management settings regarding the use of cookies when necessary. Information collected through Google Analytics may be processed on Google’s servers, including those located outside Japan. Please refer to Google’s policies for details on how Google Analytics collects and uses information.

Provision to Third Parties and Outsourcing

(1) Provision to Third Parties

The Company does not provide personal data to third parties without the Customer’s consent, except as permitted by law. However, when explicitly requested or consented to by the Customer, the Company may provide the minimum necessary information (such as name, contact information, and inquiry details) to affiliated group companies (e.g., real estate business companies) for the purpose of responding to such requests. In such cases, the Company will clearly inform the Customer of the recipient, the items to be provided, and the purpose of use before obtaining consent.


(2) Outsourcing

The Company may outsource the handling of personal information to contractors (e.g., cleaning services, security companies, system operators, payment processors, and collection agencies) within the scope necessary to achieve the purposes of use. In such cases, the Company appropriately selects contractors, enters into agreements concerning confidentiality and security management, and properly supervises them.

Security Control Measures

The Company strictly manages Customers’ personal information and implements preventive and security measures against unauthorized access, loss, destruction, alteration, and leakage. In the event of a data breach that may harm the rights and interests of individuals, the Company will report to the Personal Information Protection Commission and notify affected individuals as required by law.

Disclosure, Correction, Suspension of Use, Deletion, etc.

If a Customer requests disclosure, correction, addition, deletion, suspension of use, erasure, or suspension of third-party provision of their personal information held by the Company, the Company will respond promptly in accordance with applicable laws and within a reasonable scope that does not interfere with its business operations. Identity verification procedures may be required.

Retention Period of Personal Information

The Company retains personal information only for the period necessary to achieve the purposes of use and will delete or dispose of such information appropriately after the purpose has been fulfilled, except where retention is required by law or reasonably necessary for dispute resolution. Security camera footage and entry/exit records are also retained only for the minimum necessary period consistent with their purposes.

Personal Information of Customers Under 16 Years of Age

The Company handles personal information of individuals under 16 years of age with particular care, considering the best interests of the individual. In cases where consent is required and the individual is under 16, the Company will, in principle, obtain consent from a legal guardian (including membership applications and system-related registrations and use). Requests for disclosure or suspension of use from legal guardians will be handled appropriately in accordance with applicable laws.
